The AI that reads the tax authority's notifications
Every tax notification that arrives, the AI opens it, understands it, classifies it into the right category and alerts the affected client. With the deadline already calculated.
Tax notifications, one by one and against the clock
An accounting firm receives tax authority and Social Security notifications every day. Someone had to open each one, understand what it was about, note the client, the tax ID and the reason, classify it and alert. With tax notifications you can't get it wrong: a missed deadline or a crossed-over data point is a serious problem.
A tax classifier with AI
We built an automation that watches the notification inbox. When one arrives, it opens the PDF, even if several come compressed in a ZIP, extracts with AI the name, the tax ID, the notification number, the date and the reason, and classifies it into one of 15 categories. It prepares the alert to the affected client and calculates the response deadline itself. The team stops reading PDFs and moves on to resolving.
How it works, step by step
- 1
The notification arrives
The system watches the inbox and detects each new tax notification.
- 2
It opens and reads
It opens the PDF (or the ZIP with several) and extracts the key data with AI.
- 3
It classifies
The AI puts it into one of 15 categories and detects the urgent ones, like an enforcement order.
- 4
It alerts with the deadline
It prepares the email to the affected client and calculates the response deadline.
Under the hood
For the curious: the real engineering behind it.
- An automation that reads the electronic-notification inbox and branches by attachment (single PDF, ZIP with several, or no file)
- Extraction and classification with AI (GPT-4.1) into 15 categories, with an alert template per category
- Automatic calculation of the response deadline and detection of enforcement orders
- Export to Google Sheets and SharePoint Excel, with the PDF filed in Drive
- In production since 2025; reinforced with a technical audit that made the tax data error-proof
The result
| What we measured | Before | Now |
|---|---|---|
| Reading each notification | manual | automatic with AI |
| Categories classified on their own | 0 | 15 |
| Deadline calculation | by hand | automatic |
| Tax-data integrity | depends on the person | deterministic and audited |
The wow
What's powerful here isn't just automating: it's the reliability. We ran a forensic audit of the system and found why a tax data point sometimes got crossed over between notifications, and left it deterministic. With the tax authority involved, the data being correct is non-negotiable.
