Pharmacy groups

Software for pharmacy groups: sales and stock for every branch in one place

If you run several pharmacies, what you need is to see sales, purchases and stock for all of them in one place, and to be able to ask what will run out before the next order, which product is sitting idle in one branch while another sells it, or which pharmacy is below normal. That's what we build on top of the management software you already use, with an AI that answers with your figures.

Each pharmacy knows its own numbers, and nobody sees the whole group

Each pharmacy has its own management software with its sales, purchases and stock. To know what the group sells, what's overstocked or what needs buying, someone builds spreadsheets by hand, and by the time they're ready the numbers have changed.

On top of that, the figure the software gives isn't always what it seems. In one group we work with, the sales figure from their own software left out the part of prescriptions paid by the public health system, so it came up almost half short. They had been making decisions with that number for a while.

Buying too much in one branch while another has the same product sitting idle, or running out of something that sells every day, are decisions that depend on seeing the whole group in time.

What we bring together in one place

  • Each pharmacy's management software
  • Purchasing and wholesaler orders
  • Stock and expiry dates
  • Accounting
  • Phone system
  • Purchasing spreadsheets

The questions you could ask your data

“Which products will run out before the next order, pharmacy by pharmacy?”

It crosses each branch's stock with its daily sales and the date of the next order.

“What's sitting idle in one pharmacy that another branch is selling?”

It compares each branch's slow-moving stock with the others' sales, so you can move it before buying more.

“Which pharmacy is selling less than last week, and in which product family?”

It puts each branch against its own average and tells you whether the drop is in prescriptions, over-the-counter or a specific family.

“How are we doing against last year, with sales calculated properly?”

It compares with the previous year, including the part of prescriptions paid by the public health system, branch by branch.

“What should I order from the wholesaler today?”

It proposes the order from stock, sales and expiry dates, and can send it to the wholesaler.

“Which products expire this quarter, and where are they?”

It lists what's expiring soon in each pharmacy, so you can sell it first or move it to the branch that sells it most.

How it works, in three steps

  1. 1

We bring your data into one place

We connect each pharmacy's management software, purchasing, stock and accounts and organise what each one stores, so a sale, a customer or an hour of work means the same thing everywhere. Your programs stay as they are and your team keeps working the same way.

  2. 2

We check that the numbers add up

Before showing you anything, we cross-check the figures against your own programs and your accounts. If something doesn't match, we find it and explain why. Deciding with a wrong number is worse than not having one.

  3. 3

You ask it like you'd ask a trusted manager

You type the question in your own words, from your phone or computer, and the answer comes back with your numbers and where they come from. Each person sees only what concerns them: the owner sees everything; a manager, their location or branch.

A real case

A pharmacy group that now asks its own data

Over a million sales lines from several pharmacies, brought together and organised in one place, with sales, purchasing and stock data flowing in on their own every 10 minutes.

Management asks in plain language which product dropped this month or what they should buy, and the AI answers with the real figures. Along the way it rebuilt the sales figure their software was getting wrong and reconciled it to the cent. Today it recommends purchases and sends real orders to the wholesaler.

Frequently asked questions

Do I have to change the pharmacy management software?

The management software stays as it is and the counter team keeps working the same way. We read its data and bring it together with the other pharmacies' data somewhere else.

Does it work if each pharmacy uses different software?

Yes. We organise each one's data so a sale, a product or an order means the same everywhere, and that way they can be compared.

What about prescription and patient data?

Health data is pseudonymised and handled under GDPR: the platform works with what it needs to analyse sales and stock. It runs on the group's own server, so the data stays in house.

Does the AI place orders on its own?

It can: in the pharmacy group we work with, it recommends purchases and sends real orders to the wholesaler. How far it goes on its own, recommend only or recommend and send, is your call.

How do I know the figures are right?

Before trusting anything, we cross-check the figures against your software and your accounts. That's how, in the pharmacy group we work with, a sales figure the software was calculating at almost half turned up.

What happens in the 30-minute diagnosis?

You tell me how many pharmacies you have, which software you use and what you'd like to know every week. I show you which questions you could answer with that data and where we would start.
